Organising a birthday party for your friends, children or colleagues for the very first time can be a real hectic and chaotic affair - from the task of deciding whom to invite and whom to drop to selecting the venue and making proper arrangements for the party. Budget deciding is also very important aspect of the job, as if the expenditures are ill managed and not monitored, it can cause a serious dent in your wallet. Furthermore, if you are the main facilitator of the event, you will be the main target of the blame and sass if the party bombs. So, it is crucial for an amateur organising a party for the first time to properly plan the event well in advance to save themselves from any unwanted embarrassment.


The key is to look at the party as a managerial task, yes the parties are meant to be fun, but for the party to be successful, a lot of thinking and hard work is employed. From getting the birthday cake delivered to wrapping up after the party is over, everything is needed to be accounted for firsthand.

The first crucial step is to identify the Reason of throwing the party. It can be any of the following:

·         Marriage or engagement party


·         New house or new car


·         New baby in the house

 

For any of the above party, be it birthday, marriage or a party of a fancy car, some basic fundamentals for planning the event remains constant. These basic set of instructions are needed to be followed in order to make sure that we have a flawless party at our hands. These basic steps are:

 

·        Preparing a guest list - The first step towards organising a successful party is to determine the number of guests. All the other factors depend on this crucial information. The shortlisted guests must be invited either by a personal call or an invitation card.


·      Deciding the budget - A proper budget representing the finance of the undertaking is essential to avoid over budgeting and cost overruns.


·         Selecting a venue - With the information of the number of guests and the amount of budget, the most suitable venue is selected.


·         Organising - This step includes the process of deciding the menu for the party, taking the cake delivery and making decorations. This process is should be concluded three to four hours before the commencement of the party.


·         Controlling - The management of the party as it progresses is also vital for smooth running of affairs, this process is called controlling. You should have the contacts of all the contractors and managers that are involved in making arrangements for the party to deal with any instantaneous issues like shortage of food, lack of proper seating arrangements, etc.

 

Following this road map makes sure that the arrangements for the party are in place well before the time and that you are able to ensure that the party is successful and fabulous. Perhaps then when the party is over, you can pat your back, for you may not have been able to fully assimilate into the party but at least you are no longer an amateur.
